Under general supervision, coordinates the activities involved in the planning and execution of events at Chateau St. Jean. These events include but are not limited to all weddings and corporate events, large scale trade events, and membership engagement events. Partners with Member Event Specialist and Manager of Special Events & Member Engagement, vendors, and Guest Experience Team Members at guest experience centers to service client needs. Develops event orders and legally binding contracts and communicates event planning to respective colleagues. Secures and coordinates internal and external manpower, equipment, materials, and financial requirements. Also responsible for incremental sales during events and must be able to maximize up-sell opportunities. Maintains existing and creates new vendor relationships as required.

Under general supervision and on own initiative performs a variety of Event Marketing activities and strategic functions directed by the Marketing team on an accurate and timely basis to support the Foley Food & Wine Society (FFWS) and individual brand objectives and strategies through cross-promotions, outside partnerships and event marketing tactics.

Administrative tasks include the recording of all events, client communication, collection of funds, event wine orders, month end reconciliation, assist with preparation of meal and events costs for departmental budget expenses, maintaining monthly calendar of events, creation of event orders and overseeing the maintenance of Special Events equipment.

The Event Specialist, CSJ must be capable of delivering world-class customer service and generate sales by demonstrating Foley Family Wines hospitality and sales principles. Paramount to their success is representing the Foley Family brands with enthusiastic professionalism while being gracious, genuine, and respectful of guests and employees alike.

Roles and Responsibilities

  • Fosters and manages client relationship and event coordination from initial site visit and contract signing to full execution of the event always ensuring exceptional hospitality and service levels
  • Upholds Foley Family Wines core values
  • During events, directs in-house and vendor staff to ensure that events are executed in an efficient and satisfactory manner
  • Address event-related challenges as they arise to ensure guest satisfaction and efficiency
  • Schedules and coordinates tasks in areas related to event set up, clean up, and closing procedures always making certain that the event venue is professional, safe, organized and clean
  • Communicates any guest, operational, staff or facility-related issues to Sr. Manager, Special Events & Member Engagement regularly and consistently
  • Plays a vital role in establishing an atmosphere of teamwork and positive employee relationships
  • Contributes to the training and development of new Hospitality representatives and provides feedback to Manager, Special Events & Member Engagement
  • Oversees point of sale receipts-related procedures; remains vigilant and consistent with winery inventory and accounting procedures; immediately informs managers of any discrepancies discovered
  • Proactively identifies opportunities/challenges and suggests methods to improve event operations, efficiency, and service levels to customers
  • Opens, closes, and secures event venue as required with willingness to maintain a flexible schedule including nights and weekends
  • Embraces, communicates, and champions work procedures and processes that support company and departmental standards, procedures, and objectives
  • Works with the Sr. Manager, Special Events & Member Engagement to set goals and ensure the success of each event
  • Responsible for documenting and communicating appropriate metrics associated with all events
  • Able to effectively lead site tours and facilitate destination management company site tours
  • Champions wine clubs by creating an exceptional guest experience for club members
  • The Event Specialist, CSJ can demonstrate successful sales skills and behaviors; promotes the sale of wine, wine club membership, events and can up sell customers in a consultative selling approach
  • Has a working knowledge of winemaking, from vine to wine
  • Has knowledge of the Sonoma and Napa growing regions, including varietals at Foley Family brands
  • Maintains and creates professional referral list for Chateau St. Jean
  • Secures and assigns necessary “on-call” temp employees under supervision

  • Proficient with Excel, Word and Outlook including other MS Office Products

  • Strong public speaking and presentation skills; must be comfortable in front of large and small audiences both virtually and in person

  • Positive role model and ambassador for Foley Family Wines in the wine and event industry

Experience and Qualifications

•  Bachelor’s degree or a wine-related technical degree preferred
•  Minimum three years hospitality related event planning and operational experience
•  Must be 21 years or older
